Position is located at 5000 Rogers Ave., Fort Smith, AR 72903. Availability is needed Monday through Friday 8:00 am to 5:00 pm with ability to work additional hours as needed. Job Title: Real Estate Division (RED) Facilities Coordinator The RED Facilities Coordinator at Arvest oversees the daily operations and maintenance of the organization’s physical infrastructure within their assigned region. They manage various aspects of facilities management and serve as the department’s main resources for matters relating to maintenance, vendor relations, asset management, meeting space utilization and company vehicle reservations. Their role ensures streamlined departmental organization by promptly and accurately handling work orders, documents, contracts, processes, and tasks.
What You’ll Do at Arvest: (Other duties may be assigned.)
- Serve as the main point of contact for all facilities maintenance related inquiries, issues, or concerns.
- Utilize Computer Aided Facility Management (CAFM) software to coordinate vendor services, manage work orders, maintain records, document files, manage assets and generate operational reports.
- Coordinate the vendor management process by onboarding new vendors in the system, reconciling statements, auditing transactions, resolving billing concerns, solving issues, assessing goods and services provided, and building and maintaining effective working relationships.
- Research, identify and evaluate potential vendors for various maintenance related products and services. Solicit bids and make recommendations regarding the best fit for the division’s needs.
- Work closely with Facilities Manager and/or Facilities Supervisor to examine and review department contracts, provide recommendations, and track them within the software system.
- Process purchase orders, pay application fees and submit invoices for approval according to established procedures.
- Manage the purchasing, inventory and distribution of all internal supplies, office equipment and furniture for the region in accordance with the established budget.
- Work closely with the internal team and between departments to reserve, maintain and coordinate logistics for all conference rooms, meeting rooms and event calendars for the region.
- Coordinate reservations, vehicle tag registration, mileage logs and maintenance for all company vehicles. Work with Facilities Specialists to ensure vehicle maintenance and repairs are completed and reported to the appropriate department in a timely manner. Make recommendations on lifecycle planning for company vehicles.
- Create articles, post documents, highlight new projects and maintain the department's internal communication site to provide education, resources and tools for customers and partners regarding new solutions and project status.
- Provide general administrative support such as transcribing meeting notes and creating meeting agendas.
- Distribute interoffice mail and provide backup support, when necessary, in the absence of Facilities Specialist 1.
- Understand and comply with bank policy, laws, regulations, and the bank's BSA/AML Program, as applicable to your job duties. This includes but is not limited to; complete compliance training and adhere to internal procedures and controls; report any known violations of compliance policy, laws, or regulations and report any suspicious customer and/or account activity.
Responsibilities:
Toolbox for Success: - High school diploma or General education degree (GED) or equivalent work or military experience.
- 2 or more years of administrative, clerical office, facilities, or vendor relation experience.
- Relevant military experience is considered for veterans and transitioning service members.
Physical Demands: The associate must be able to travel frequently by themselves within the US, including overnight. Associates must be able to frequently navigate a construction site and access all areas of a facility. This includes but is not limited to the ability to work in and around all facilities spaces: below grade, rooftop, penthouse, unfinished spaces, crawl spaces and which access to may require climbing a ladder or using a lift.
